Guest List — Registration & Management

Manage guest registrations, configure settings, share links, and export your list.

Using the Guest List

The Guest List section is where you manage everyone who has registered or been added for any given night — and where you configure all your guest list settings.

The 4 Summary Cards

At the top of the page you'll always see four live counters:

Pending GuestsGuests who have registered but haven't been approved yet
Accepted GuestsGuests who have been approved and are on the confirmed list
Scanned GuestsGuests who have been scanned/checked in at the door
Staff ScansWhich staff member last scanned a guest, and their scan activity

Switching Dates

Click the Date button at the top (e.g. "Date: Friday Feb 13, 2026") to open the calendar picker. Select any date to view or manage the guest list for that night.

Filtering the List

  • Status filter — Pending, Accepted, Rejected, Expired
  • Search — find a specific guest by name instantly
  • Sort — change the order guests appear
  • Filters — additional filtering options

Create Campaign

The Create Campaign button lets you send a message to guests on the list — choose between Pending Guests or Approved Guests to target with SMS, Email, or App Notification.

Exporting the Guest List

Click Export Guests to download the guest list for the selected date as a PDF with guest details, contact information, and member counts.

Configuration & Links

Click Configuration & Links to open the Guest List Management settings page where you control how your guest list operates.

Operating Hours

Set which nights your guest list is open and at what time. Days set to Close won't appear as available on your public registration page.

Guest List Status

Controls whether your guest list is active — Enabled means guests can register through your public link, Disabled turns the registration page off.

Share Link

Your public guest list URL for sharing on Instagram, SMS blasts, flyers, or directly to promoters.

Access Expiry

Choose when guest list access expires — options include At Close, At End of Night, Custom Time, or No Expiry.

Guest List Notes

Add venue-specific notes displayed on the public registration page — dress code, age requirements, venue rules.

Tips

  • Set Access Expiry to a specific time like 11:30 PM to create urgency.
  • Add Guest List Notes with dress code and age requirements upfront.
  • Share your guest list link in your Instagram bio.
  • Use Create Campaign to message pending guests with a reminder.
